Meeting SPACES - Terms of Use aGREEMENT
REPRESENTATION By accessing and using our meeting spaces you warrant and represent that you have read and agree to abide by this terms of use agreement.
RESERVATION GUIDELINES:
ADVANCED BOOKING All meeting space reservations must be made in advance through the designated booking system. Meeting spaces shall be scheduled at least twenty-four (24) hours in advance, but no more than three (3) months in advance. Walk-in use is subject to availability and you must check in with the front desk staff.
MINIMUM RESERVATION The minimum reservation is one (1) hour, billed in thirty (30) minute increments thereafter. The minimum reservation for our 24-Person Meeting Room (A & B combined) is four (4) hours.
BOOKING TIME LIMIT Reservations must be made for the entire time the meeting space is required - including any setup or cleanup time you require. You may not enter the meeting space prior to scheduled start time. You must leave the meeting space at or before the scheduled end time of the reservation. Book ample time for your reservation as it may not be possible to extend it.
MAXIMUM OCCUPANCY Respect the maximum occupancy limits listed for each meeting space. Do not exceed these limits.
GENERAL RULES
CLEANLINESS Keep the meeting space neat and tidy. Leave the meeting space in the same condition you found it, or better. A cleaning fee will be assessed if we have to clean up after you.
COMMON/SHARED AREAS All meeting activities and discussions must take place exclusively within your reserved meeting space. Breakout meetings are not permitted in the lobby, hallways, kitchen or other common spaces. The use of the lobby or any other common space is strictly prohibited as an extension of the meeting space. Lobby furniture is not to be moved or rearranged.
QUIET ENVIRONMENT Maintain a quiet and professional environment within meeting spaces. Keep noises at an appropriate level to avoid disturbing others. Remember this is a shared environment.
PROFESSIONAL CONDUCT Conduct meetings and activities in a professional and respectful manner. Offensive or inappropriate behavior will not be tolerated.
TECHNOLOGY USE Use any technology and equipment provided responsibly. Use of our telecommunications network (Internet and Telephone Service) is subject to our Telecommunications Services Terms of Use Agreement.
SECURITY Keep the meeting space secure by locking it when not in use and ensuring only authorized individuals have access.
COMPLIANCE Abide by all safety and security regulations, including fire codes and building security policies.
EMERGENCY EVACUATION Familiarize yourself with the building’s emergency evacuation procedures and exit routes for the meeting space.
VIDEO SURVEILLANCE AND MEETING CONFIRMATION Video surveillance is in use within the facility and is employed to confirm meeting start and end times accurately. Please be aware that your entry and exit from the meeting rooms may be recorded for this purpose.
VIOLATION CONSEQUENCES Failure to adhere to these rules may result in suspension or revocation of meeting space privileges.
REVISIONS TO TERMS OF USE AGREEMENT AmeriCenters may modify this Terms of Use Agreement at any time, with or without notice.
